Author Final Paper Preparation and Submission Instructions

Congratulations on having your paper accepted for publication in the proceedings of the
2012 IEEE 5th International Conference on Service-Oriented Computing and Applications (SOCA)
to be held
17-19 December 2012 in NTU, Taipei, Taiwan

The following information is provided to help you in the preparation and submission of your final paper as it will be published in the proceedings. Please follow all STEPs to insure the submission process is completed successfully.

STEP 1: Paper Specifications

PAPER PAGE LIMIT:

  • 8 pages for full paper and 4 pages for short paper.

PURCHASING EXTRA PAGES:
  • Additional 2 pages may be purchased.


STEP 2: Important Deadlines

PAPER DEADLINE: Final paper is due by 26 October 2012.

COPYRIGHT DEADLINE: A signed copyright release form is due by 26 October 2012.


STEP 3: Important Information about Preparing your Paper

The IEEE is dedicated to the worldwide distribution of conference papers to engineering professionals. The IEEE digital libraries are the primary delivery method, especially the IEEE Xplore digital library. This requires that all papers submitted for publication must meet a minimum standard for both print and electronic publishing.

We now offer conferences free access to PDF eXpress™, the IEEE's online file conversion/PDF validation tool, to assist authors in preparing suitable electronic files of their final papers. PDF eXpress™ helps authors convert their papers into IEEE Xplore-compatible PDF files (conversion function) or to check their own PDF files for IEEE Xplore compatibility (PDF validation function).

PDF eXpress™ is not a file submission system and does not capture files. An author's file simply passes through the system returning a PDF file or an error report.

After using PDF eXpress™, you will still need to submit the IEEE Xplore-compatible PDF file of your final paper later in this publication submission process (see STEP 8).


STEP 4: Formatting your Paper

Your final papers MUST be formatted to IEEE Computer Society Proceedings Manuscript Formatting Guidelines (follow the link to formatting instructions). It is highly recommended that you proofread and check the layout of your paper BEFORE submitting it to PDF eXpress™.


STEP 5: PDF eXpress Online File Conversion/PDF Validation Tool

5.1) If you would like to create your own PDF file, please change the setting on your PDF distiller to insure your paper meets IEEE PDF specifications. Basic PDF distiller settings MUST be changed to:

  • Optimized,
  • Acrobat 5.0 compatibility,
  • ALL graphics at least 300 dpi resolution (higher if preferred),
  • ALL fonts MUST be embedded and subset,
  • Postscript settings DO NOT override distiller settings,
  • Page size is 612.0 x 792.0 points (8.5" x 11").
IMPORTANT: Authors must check their final PDF files before submission to verify that all fonts have been properly embedded and subset. Some font manufacturers now flag their fonts to not embed. These fonts must be avoided.

5.2) If you would like to submit your source file to PDF eXpress for conversion and validation, PDF eXpress converts the following file types to PDF:
  • Postscript

  • Microsoft Word

  • Freelance

  • PageMaker

  • FrameMaker

  • Word Pro

  • WordPerfect

  • QuarkXpress*

  • Rich Text Format

  • (La)TeX (DVI and all support files required)*

* For documents created in formats that do not embed source files, include all support files with the final manuscript in a compressed archive for submission. If it is possible to embed images in the source document, you should do so to avoid potential issues, such as missing graphics.

5.3)Using PDF eXpress
  1. Click button to go to PDF eXpress.

    (PDF eXpress will open in a new browser window)
    • First-time users:
      1. Click "New Users - Click Here".
      2. Enter SOCA12x for the Conference ID, your email address, and choose a new password. Continue to enter information as prompted.
      3. Check that the contact information is still valid, and click "Submit".
    • Previous users, but using it the first time for a new conference:
      1. Enter SOCA12x for the Conference ID, your email address, and enter the password you used for your old account.
      2. When you click "Login", you'll receive an error saying you need to set up an account. Simply click "Continue". By entering your previously used email address and password combination, you will enable your old account for access to this new conference.
      3. You will receive online and email confirmation of successful account setup.
    • Returning users:
      1. Enter SOCA12x for the Conference ID, enter email address and password.
  2. For each conference paper, click "Create New Title".
  3. Enter identifying text for the paper (title is recommended but not required)
  4. Click "Submit PDF for Checking" or "Submit Source Files for Conversion"
  5. Indicate platform, source file type (if applicable), click Browse and navigate to file, and click "Upload File". You will receive online and email confirmation of successful upload
  6. You will receive an email with your Checked PDF or IEEE PDF eXpress-converted PDF attached. If you submitted a PDF for Checking, the email will show if your file passed or failed.
  7. Use PDF eXpress to obtain an IEEE Xplore-compatible PDF file.
    1. The site contains extensive instructions, resources, and helpful hints.
    2. Through your PDF eXpress account, you may submit your source application files for conversion to PDF, and/or submit PDFs for checking.
    3. You will have the opportunity to revise your submission if you are not satisfied with the PDF that PDF eXpress creates for you, or if the system finds problems with your paper, or if your PDF fails the PDF Check.
    4. Technical support via email and telephone is available if you experience trouble in creating your PDF.
    5. If the PDF submitted passed the PDF Check, or you are satisfied with your IEEE PDF eXpress-converted PDF, submit your IEEE Xplore-compatible PDF HOW?

STEP 6: Renaming your PDF File for Submission

Your paper must be renamed to a uniform paper title before you submit the PDF file through STEP 8: Final Paper PDF File Submission. Please rename your paper PDF file to "[conference name][paper number]-[author number].pdf" (for example: "SOCA35-Huang.pdf").


STEP 7: Submitting a Copyright Release Form

Please fill out and submit the following form to access the IEEE Electronic Copyright Form (eCF) system. The eCF system allows you to complete and sign the copyright release form. You must complete the IEEE copyright release form using the eCF system in order to submit your paper. This copyright release form MUST be COMPLETED when you are submitting your paper. A FULL/COMPLETE author list is needed.

Please note: You are stating that the material in your paper is original and you have not previously released copyright for this paper to another party. We cannot publish your paper without this properly completed form.
