PRESENTATION POLICY

The organizers of the 2023 IEEE World Congress on Services remain steadfast in advancing our discipline by continuing to engage an international community of scholars committed to the highest standards of research quality. To support the service community of academic and industrial researchers around the world, IEEE SERVICES 2023 will be held in hybrid mode in Chicago, IL, USA. To safeguard Congress' excellent reputation we require all speakers to rigorously observe the following presentation policy.

1. Registration: All papers must be registered using either "In-Person Conference Registration - Author" or "Virtual Conference Registration - Author". Papers with no registration will be removed from the conference proceedings in the IEEE's Digital Library Xplore.

2. Inexcusable no show: IEEE's policy requires authors to participate in the conference and present the work either in person or remotely to include the paper in the conference proceedings. Inexcusable no shows will result in the papers removed from the conference proceedings in the IEEE's Digital Library Xplore.

3. Paper presentation: To maximize the quality of experience, each paper must be presented live. Remote presenters must guarantee their availability at least for the presentation of their paper according to point 2. A replacement should be identified in case of audio-video technical problems. Starting this year, all co-authors of a registered paper are entitled to receive a complimentary virtual registration code (which has been communicated by Program Chairs). As a consequence the no show policy at point 2 will be firmly applied and papers removed from the conference proceedings.

4. Prerecorded videos: All remote presenters with papers in the proceedings must upload a pre-recorded video of their presentation by June 24. The video may be updated in the Underline platform through July 1.. For onsite presenters, pre-recorded videos are optional. Pre-recorded videos shall be available through Underline platform. Instructions are available here. To update your slides or videos, you may send an email to support@underline.io stating the name of the conference (IEEE SERVICES 2023), their Paper title, Paper ID and attaching the content/info the wish to update. No shows will be evaluated according to points 2 and 3 above. This task is mandatory for remote presenters although only meant to be a backup in case they (and all their co-authors) experience some exceptional and unpredictable event impeding participation. Session chairs will take note of no shows and inform the program chairs for the necessary actions.

Policies for Camera-ready Papers

Please ensure that the author names and affiliations for all authors are correct in EasyChair, as these will be the starting point for the author list to be forwarded to the IEEE Publisher (IEEE CPS). We remind you that alteration of authors’ list and paper title are generally not acceptable and must be authorized by program chairs.

Camera-ready versions of full papers must be uploaded to the IEEE CPS site (not EasyChair) by or before June 5, 2023 (UPDATED FROM JUNE 1). You will receive an author kit from IEEE CPS with information regarding copyright and instructions for preparing the camera-ready version of your paper and the URL for uploading.

At least one author must register with full fee paid as a presenter for the Congress and commit to physically or virtually attend the Congress to make a live presentation. Pay particular attention to the "paper designator" construction method, which is an extended version of the paper number (or paper ID) issued by EasyChair. A correctly constructed paper designator can ensure that your paper can be identified and registration record correctly reconciled with the final production of proceedings.

Paper Designators

As a congress of multiple conferences and symposia, SERVICES 2023 accepts papers via multiple channels. While these IDs are unique within their originating conference, they are not unique across the full congress – which can make it difficult and time-consuming for publication staff to properly correlate incoming papers with their acceptance, registration, and publication status. To address this problem, we ask that after your paper is accepted, you always refer to it via a unique conference ID. This ID has three fields: one that identifies the conference, one that specifies the type of paper (short, long, invited, wip, symposia, etc.) and one that connects the paper to its original conference submission id.

If you do not supply the proper Paper Designator in the last step of the camera-ready submission process (see below), we may not be able to properly identify your paper during the publication process.

During the submission and publication process, you will interact with several separate systems:
  • Your initial submission is to a specific conference site hosted on EasyChair. When you submit your paper to EasyChair, the paper will be assigned a numerical id that is unique within the scope of the relevant conference. This numerical id (“submission id”) will become the third (right-hand) part of your paper designator. (This number may also appear in your acceptance letter.) Generally this “submission id” is either three or four digits. If it is three digits, you should zero pad on the left to fill three digits. If it is four digits, retain all four and do not pad. The (optionally padded) result will become the third (right most) field in your paper designator.
  • After your paper is accepted you will submit a camera-ready pdf to a “press pre-flight” application. This application tests whether your paper’s encoding conforms to the requirements of the publication process. If/when your paper passes this test, you will receive a link to an enhanced pdf and a long numeric “verification code.” Do not use the verification/validation code in the next step.
  • After your camera-ready pdf has been verified, you will upload the enhanced version of the camera-ready pdf to the CPS “Author kit” site. You will be asked to complete several forms during this process. The second page of these forms, the “Paper Details” form, includes an input field labelled “Paper ID” (see below). You should put the three part “Paper Designator” in this field.

Figuring Out Your Paper Designator

Every registered paper needs a paper designator. which is a combination of the designator prefix and the paper id. For example, the designator of the IEEE CLOUD conference "regular paper" #1234 is "CLD_REG_1234". The prefix is "CLD_REG_".

The 3-letter code based designator naming template is:

US Visa Policies
Visa letters will be issued according to IEEE policy. Please note the following:

  1. It is IEEE policy to only issue Visa Letter of Invitation to Speakers, Authors, Committee Members, and Attendees paid in FULL.
  2. IEEE SERVICES Congress can only issue the Visa Letter of Invitation for the conference. No other kind of documentation will be provided for use of visa applications.
  3. Please allow 3-5 business days for processing.
  4. We strongly advise participants to personally check entry and visa requirements before making travel arrangements, as there might be country-specific conditions that you are not aware of. For most accurate information please contact the embassy/consulate of the country where the conference will be held, in your home country.
  5. IEEE SERVICES Congress will NOT issue any Letter of Sponsorship or Letter of Guarantee if you are required to do so by the immigration department. It is the participants’ sole responsibility to obtain such documents.
  6. IEEE SERVICES Congress will not refund anyone for cancellations due to visa rejections or participant’s inability to enter the country.
  7. IEEE SERVICES Congress cannot change the decision of the any country’s embassy/consulate or any other government departments, nor will IEEE SERVICES Congress appeal to the embassy/consulate on behalf of the applicant.
  8. All questions/concerns regarding the status of your visa should be directed to the embassy/consulate of the country where the conference will be held, in your home country.
  9. In no event will IEEE SERVICES Congress be liable for any loss or damage including without limitation, indirect or consequential loss or damage, or any loss or damage whatsoever arising from loss of data or profits arising out of, or in connection with, the information provided on this page.

Remote Presentations

Accepted papers can be presented remotely via Zoom. Recorded video will be required for all presenters participating remotely. The video presentation will be made available via the IEEE Digital Library.
